As an Accounting Administrative Coordinator, you’ll play a critical role in supporting the accounting team, maintaining system and data integrity, and serving as a professional first point of contact for our organization. Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field, or equivalent professional experience
Strong administrative and organizational skills with exceptional attention to detail
Experience working with accounting systems, ERP platforms (NetSuite preferred), or CRM databases
Proficiency in Microsoft Office, especially Excel
Ability to manage multiple priorities while meeting deadlines
Strong written and verbal communication skills
Professional, polished demeanor with a customer-service mindset
Ability to work independently while collaborating across teams
Familiarity with accounting documentation, compliance, and internal controls preferred
Process and maintain W-9s, vendor onboarding packets, and vendor credit applications with full completeness and proper approvals
Manage regulatory and compliance filings, including lien releases, vehicle titles, and state forms
Maintain organized, audit-ready digital and physical filing systems for accounting, AP, AR, tax, and legal documentation
Serve as the central point of control for accounting document versioning, retention, and retrieval
Enter and maintain customer, vendor, project, and contract data in NetSuite with high accuracy
Validate completeness of required fields prior to invoicing, reporting, or revenue recognition
Resolve data discrepancies and support system hygiene across sales, operations, and finance
Assist with data cleanup initiatives and master data governance
Manage inbound calls, visitors, mail, and deliveries with professionalism
Coordinate meeting logistics, conference room scheduling, and general office administration
Support leadership and staff with light executive and facilities coordination
Maintain a polished, executive-level front-of-house environment
Assist with accounts payable, accounts receivable, expense processing, and bank transaction coding as needed
Support month-end close preparation, reconciliations, and audit schedules
Ensure all transactions are properly documented, approved, and recorded in accordance with internal controls
Zero missing or expired vendor documentation
Same-business-day filing and document retrieval turnaround
Error rate below 1% in system data entry
No billing delays caused by inaccurate or incomplete data
On-time completion of assigned month-end close tasks
No audit or compliance exceptions related to documentation or controls
